Front desk

  • Hi, can I book a check-up this Saturday?
  • Of course. Saturday has 10:00 or 11:30. Which suits you?
  • 11:30 please
  • Done. You’ll get a reminder on Friday evening. Anything else for the team?
An example conversation, from first question to booking.

The context

Patients message clinics on WhatsApp, often after hours. In our own scan of 22 Klang Valley dental clinics, 7 of the 17 with websites didn’t even link to WhatsApp.

The problem

Front desks answer the same questions all day: hours, parking, prices, “can I come in today?”. Each one interrupts the patient standing at the counter, and the ones after closing go unanswered until morning.

What we did

  1. 01

    Answers the routine questions

Hours, location, parking, what to bring, how payment works. Written with the clinic, in its own voice, in English and Bahasa Malaysia.

  2. 02

    Books into the real calendar

It offers genuinely free slots, confirms the booking and sends a reminder the evening before.

  3. 03

    Knows when to stop

Anything clinical, any complaint, anything urgent goes straight to a person, with the conversation so far attached.

  4. 04

    Says what it is

It introduces itself as the clinic’s assistant and never pretends to be a person.

WhatsApp automation for Malaysian businesses: what to automate firstYour team answers the same handful of questions all day, and plenty of messages land after closing. This is how we'd hand that work to an assistant, whatever you sell, and where we'd draw the line.
